Security & Data Handling
Effective date: [INSERT SECURITY PAGE EFFECTIVE DATE]
This page provides a general overview of how Solle Prosequi, LLC approaches security for the SolPros service.
It is intended as a summary only and does not create contractual commitments beyond applicable agreements.
1. Security Approach
We take a practical, risk-based approach to protecting customer information. Our goal is to limit access appropriately, reduce unnecessary exposure of data, and maintain a secure and reliable service for our users.
2. Access Control
We use account authentication and role-based permissions to help restrict access to customer workspaces and features.
Access within a customer organization may vary by user role, such as:
- owner
- admin
- member
- other role-based permissions implemented in the Service
Customers are responsible for managing their own users, permissions, and sharing decisions within their organization.
3. Customer Workspace Separation
The Service is designed to logically separate customer workspaces so that users access data associated with their own organization and permissions.
Access controls are intended to limit access to authorized users within the appropriate customer workspace.
4. Administrative and Support Access
SolPros may access customer data when reasonably necessary to:
- operate and maintain the Service
- investigate errors or service issues
- respond to customer support requests
- secure the platform
- comply with legal obligations
We seek to limit internal access to authorized personnel with a legitimate business need.
5. Transmission and Storage
We use reasonable safeguards designed to protect information during transmission and storage.
Customers should avoid uploading information they are not authorized to store or process in the Service.
6. Logging and Monitoring
We may use logs, system diagnostics, and related monitoring tools to:
- maintain performance and reliability
- investigate technical issues
- detect misuse or unauthorized activity
- support security and troubleshooting efforts
7. File Handling and Document Generation
The Service may store uploaded files and generate documents, exports, and related outputs based on customer data and templates.
Customers are responsible for reviewing generated materials before use, filing, or transmission.
8. Third-Party Infrastructure and Providers
We may use third-party providers for hosting, authentication, storage, email, document processing, and related technical services. Those providers may process data on our behalf in connection with delivering the Service.
9. Incident Response
If we become aware of a confirmed security incident affecting the Service, we will take steps we deem appropriate to investigate, contain, remediate, and provide notice as required by law or contract.
10. Customer Responsibilities
Customers play an important role in security. Customers should:
- use strong passwords
- protect account credentials
- manage user access carefully
- remove access for former personnel promptly
- review generated outputs before use
- contact us promptly if they suspect unauthorized access or a security issue
11. No Absolute Guarantee
While we use reasonable safeguards, no method of transmission, storage, or electronic security is completely secure. We cannot guarantee absolute security.
